Google recently announced a range of exciting new features, many powered by AI. One of the most anticipated for small business owners is Google Workspace Flows, which will enable agentic workflows to automate repetitive tasks. While general availability is expected later this year, those interested can sign up now for early access and get a head start on exploring what’s coming.
Let’s back it up a bit and talk about what agentic workflows are for the uninitiated. There are two kinds of AI that are in regular use now; generative AI and agentic AI. Generative AI is more of the usual use of AI to generate content, answer questions, and generally create things. With agentic AI, you create AI agents to run around digitally and do tasks for you, such as automating answering specific questions in emails, scheduling meetings, and so on.
What Workspace Flows will do when it gets here is string together smaller AI agents - currently called Gems by Google - into agentic workflows that do specific tasks based on a logic tree. If you remember “If This Then That”, it’s the same idea, only with AI agents. Google Workspace Flows will be the necklace that strings together the Gems into specific workflows.

1) Gems

The Gems that Workspace Flows will use as building blocks are already accessible to most Google Workspace clients. To create them, step through this tutorial that shows you how to work with them on the Gemini web or mobile apps.
There are premade Gems available that you can start using now, and you can choose to build your own. Some examples of the premade Gems include a Sentiment Analyzer, Sales Pitch Ideator, and an Outreach Specialist. You can use your Gems as templates to build repeatables, such as RFPs, slide decks, and much more.
2) AI Studio
If you’re a Google Workspace user, you can actually build your own apps using Google AI Studio. Their use will be limited to yourself and any users you want to share them with. Some of the demo apps available include a flashcard maker, various apps built to do things with Google Maps, and Gemini Co-Drawing. These apps are a step above Gems, but can still be used to automate repetitive tasks. You can check it out here.
3) Google Agentspace
Agentspace is a few pole vaults above what Google Workspace Flows will be, with the ability to create advanced AI agents that are accessible across an entire business. Like many features unveiled at Google Cloud Next, this one is gradually rolling out. You can sign up for access now to request early access and explore it ahead of broader availability.
Agentspace is designed with enterprise needs in mind, but it's also a powerful tool for smaller businesses to explore. It allows employees to create their own AI agents for complex and repeatable tasks, offering more advanced capabilities than Gems.
